Office Assistant – Full-Time Position

We’re seeking an organized, detail-oriented Office Assistant to serve as the backbone of our daily operations. In this essential role, you’ll provide comprehensive administrative support that keeps our office running smoothly and efficiently.
What You’ll Do
Communication & Customer Service
- Serve as the friendly first point of contact, answering phones and directing calls to appropriate team members
- Take detailed, accurate messages and ensure timely distribution
- Maintain professional correspondence and documentation
Financial & Administrative Operations
- Create and manage sales orders using QuickBooks software
- Generate job IDs and process timesheets through our internal software systems
- Handle vendor relations including requesting quotations and submitting purchase orders
- Review and reconcile company credit card statements against expense reports and timesheets for accuracy
- Maintain organized filing systems and administrative records
Operations Support
- Prepare shipment packages for parts, equipment, and lab samples
- Handle document processing including faxing, scanning, and copying
- Update and maintain critical databases (component parts, costs, mailing lists)
- Retrieve information from computer and filing systems as needed
- Assist with event planning and coordination
- Manage office supplies inventory and equipment maintenance
- Support team with office errands and special projects
- Maintain a clean, organized workspace
What We’re Looking For
Education & Experience
- High school diploma or equivalent required
- Business degree or vocational training preferred
- Previous office or administrative experience a plus
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- QuickBooks experience highly valued
- Strong internet and email communication abilities
- Comfortable with data collection and group messaging platforms

Pay: Competitive pay rate dependent on experience and qualifications.
Schedule: Our standard work schedule is Monday through Thursday, 10 hours per day.
